Terms of Service

Last updated: 2026-11-04

The short version: LatePilot is software for businesses to work out and claim late-payment interest on their own invoices. You stay in control of what is sent and approved, we never handle money, and it's free while in beta.

1. Who we are

LatePilot is provided by Ihtesham ul Haq, Street 7, Mohallah Hyderabad, Alipur Chattha 52080, Punjab, Pakistan ("we", "us"). Contact: hello@latepilot.com. These terms apply when you use the LatePilot app, including when you sign in with Xero. The free calculators and letter templates on this website can be used without an account.

2. Business use only

LatePilot is for businesses, about their own invoices to other businesses. By connecting a Xero organisation you confirm that you act for that business and are allowed to connect it. You may not use LatePilot as a consumer or to deal with debts owed by consumers.

3. What LatePilot does, and what it doesn't

  • It reads overdue sales invoices and contacts from Xero, works out statutory late-payment interest and fixed sums, drafts reminders, records the reminders you mark as sent and, when you click Add to Xero, creates a draft invoice in your Xero organisation.
  • It does not contact your customers. You decide what to send, and you send it from your own email in your own name.
  • It is not a debt collection agency. It never collects, holds or transfers money and never acts for you in a dispute.
  • It gives general information, not legal or financial advice. Check each figure and whether a claim applies (for example, your contract may set other terms) before you send or approve anything.

4. Beta and price

LatePilot is in beta and free to use. Features may change, and the beta is provided as it is, without a promise of uninterrupted service.

When paid plans start we will tell you by email at least 30 days before any charge, and you only pay if you choose a plan. Payments will be handled by Paddle as merchant of record, under Paddle's terms. Paid plans run monthly and can be cancelled at any time, effective at the end of the paid month. A founding price stays the same for as long as your subscription continues.

5. Your responsibilities

  • Use LatePilot lawfully, including data-protection and consumer-protection law when you contact your customers.
  • Keep your Xero account secure; anyone signed in to your Xero account can sign in to LatePilot.
  • Don't misuse the service: no attempts to break its security, overload it, access other customers' data, or copy it at scale.

6. Your data

Your data stays yours. We process it as described in our privacy notice (latepilot.com/en/privacy) and, for personal data of your customers' contacts, as your processor under our Data Processing Addendum (latepilot.com/en/dpa), which forms part of these terms. Deleting your account disconnects Xero and deletes your account data at once.

7. Xero

LatePilot connects to Xero through Xero's official API. Your use of Xero is governed by your agreement with Xero. LatePilot is independent and not affiliated with, endorsed or sponsored by Xero, and depends on Xero being available.

8. Availability and changes

We work to keep LatePilot available and correct, but we do not guarantee uninterrupted or error-free service. We may change or stop features. For paid plans we will give at least 30 days' notice of a change that materially reduces what you pay for, and you may cancel.

9. Liability

Nothing in these terms limits liability that cannot be limited by law, such as for fraud or for death or personal injury caused by negligence.

Otherwise, we are not liable for indirect or consequential loss, loss of profit or revenue, or amounts you do not recover from your customers. Our total liability in any 12 months is limited to the greater of the fees you paid us in that period and £100.

10. Ending

You can stop at any time by deleting your account (Account menu, Delete account). We may suspend or close an account that breaks these terms, and will tell you why unless the law prevents it.

11. Changes to these terms

We may update these terms. We will show the date above and, for material changes, email account holders at least 14 days before they apply. If you continue to use LatePilot after that, the new terms apply.

12. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
